Privacy Policy

This Privacy Policy explains how ZMG Solutions LLC, doing business as ZMG Solutions (“ZMG Solutions,” “we,” “us,” or “our”), collects, uses, discloses, stores, and protects information when you use our website at zmgsolutions.net, our applications, and related products and services, including any product-specific services operated by ZMG Solutions (collectively, the “Services”).

This Policy applies to ZMG Solutions generally. Some products may have additional product-specific privacy addendums. If a product-specific privacy addendum applies to a Service you use, that addendum supplements this Policy and controls to the extent of a direct conflict.

By using the Services, you acknowledge the practices described in this Policy.

01Information We Collect

Information you provide to us

We may collect information you provide directly, including:

  • Account information: name, email address, password or authentication credentials, profile details, organization name, role, and related account settings.
  • User content: text, files, documents, images, prompts, questions, notes, messages, uploads, form responses, project details, contract excerpts, operational materials, generated outputs, and other content you submit, store, create, or process through the Services.
  • Business and organization information: company, union, team, district, department, customer, workspace, billing, administrative, or user-management information where applicable.
  • Communications: messages you send to us, support requests, feedback, bug reports, survey responses, and related contact details.
  • Transaction information: subscription status, product plan, purchase confirmation, renewal status, and related billing metadata. If you purchase through the Apple App Store or another third-party platform, that platform processes your payment information under its own terms and privacy policy. We do not receive your full payment card details from Apple.

Information collected automatically

When you use the Services, we may automatically collect:

  • Usage data: pages viewed, features used, actions taken, session activity, product interactions, timestamps, referring pages, and diagnostic events.
  • Device and connection data: IP address, browser type, operating system, device type, app version, device identifiers, language settings, and approximate location derived from IP address.
  • Log and security data: authentication events, access logs, error logs, crash reports, abuse-prevention signals, and system performance data.
  • Cookies and similar technologies: cookies, local storage, pixels, SDKs, and similar technologies used to operate the Services, keep you signed in, remember preferences, improve performance, and understand usage.

Information from third parties

We may receive information from third parties when you choose to use them with the Services, including:

  • sign-in providers such as Apple or Google;
  • app stores and payment platforms;
  • cloud infrastructure, authentication, analytics, security, email, hosting, and customer support providers;
  • organization administrators who create, manage, or invite users to a workspace; and
  • integrations you choose to connect.

02How We Use Information

We use information to:

  • provide, operate, maintain, and improve the Services;
  • create, authenticate, secure, and manage accounts;
  • process subscriptions, purchases, renewals, cancellations, and support requests;
  • store, process, display, search, retrieve, analyze, and generate outputs based on user content;
  • provide AI-powered features, summaries, responses, search, citations, recommendations, automation, and other product functionality;
  • personalize user experience and remember preferences;
  • communicate with you about the Services, updates, support, security, administrative notices, and product changes;
  • monitor performance, debug issues, prevent fraud, detect abuse, and protect the security and integrity of the Services;
  • enforce our Terms of Service and other agreements;
  • comply with legal obligations and respond to lawful requests; and
  • evaluate or complete a business transaction such as a merger, financing, acquisition, reorganization, or sale of assets.

03Artificial Intelligence Features

Some Services may use artificial intelligence or machine-learning systems to process user inputs and generate outputs. When you use AI-powered features, the information you submit may be processed to provide the relevant response, citation, analysis, summary, recommendation, draft, workflow, or other output.

Depending on the product, AI processing may involve ZMG-operated systems or third-party AI service providers acting on our behalf. We will use reasonable efforts to configure such providers consistent with our privacy commitments and applicable law.

Do not submit information to AI-powered features unless you have the right to do so and are comfortable with the processing described in this Policy and any applicable product-specific addendum.

04How We Share Information

We do not sell personal information.

We may share information in the following circumstances:

  • Service providers and subprocessors: with vendors that help us provide the Services, including cloud hosting, storage, database, authentication, analytics, email, support, security, payment, app distribution, and AI-processing providers.
  • App stores and payment platforms: with Apple or other platforms as needed to process purchases, subscriptions, refunds, app distribution, or related account status.
  • Organization administrators: if you use a Service through an organization, workspace, company, union, or team account, administrators may be able to access or manage information associated with that workspace, including user accounts, uploaded content, usage, settings, and logs.
  • Legal, safety, and compliance: when we believe disclosure is necessary to comply with law, legal process, or lawful government requests; enforce our agreements; protect rights, property, or safety; detect or prevent fraud, abuse, security incidents, or technical issues; or protect users or the public.
  • Business transfers: in connection with a merger, acquisition, financing, restructuring, bankruptcy, sale of assets, or similar transaction.
  • With your direction or consent: when you direct us to share information through an integration, export, collaboration feature, support request, or other action.

05Cookies and Similar Technologies

We may use cookies, local storage, SDKs, pixels, and similar technologies to:

  • keep you signed in;
  • remember preferences;
  • operate and secure the Services;
  • understand how the website and Services are used;
  • improve performance and reliability;
  • support analytics and diagnostics; and
  • prevent abuse or unauthorized access.

You can control cookies through your browser settings. Disabling some cookies may affect functionality.

Our website may load fonts, scripts, images, or other resources from third-party content-delivery networks or infrastructure providers. Those providers may receive information such as your IP address and browser details as part of serving those resources.

06Data Retention

We retain information for as long as needed to provide the Services, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, maintain security, prevent fraud or abuse, and preserve business records.

Retention periods may vary by product, account type, data type, legal requirement, customer agreement, and user settings. When information is no longer needed, we will delete, de-identify, or aggregate it where reasonably practicable.

07Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. These may include encryption in transit, access controls, password hashing, logging, least-privilege access, backup practices, and monitoring for security events.

No system can be guaranteed to be completely secure. You are responsible for keeping your login credentials confidential and for promptly notifying us if you believe your account or information has been compromised.

08Your Rights and Choices

Depending on where you live and how you use the Services, you may have rights to:

  • access personal information;
  • correct inaccurate information;
  • delete personal information;
  • request a copy or portability;
  • object to or restrict certain processing;
  • withdraw consent where processing is based on consent;
  • opt out of certain sale, sharing, targeted advertising, or profiling activities where applicable; and
  • appeal a decision where applicable law provides such a right.

To make a privacy request, contact us at privacy@zmgsolutions.net. We may need to verify your identity before fulfilling a request. We will not discriminate against you for exercising privacy rights.

Where California privacy laws or other state privacy laws apply to us, we will honor rights required by those laws. We do not sell personal information.

09Account Deletion

If a Service allows account creation, you may delete your account from within the app where that feature is available, or by contacting support@zmgsolutions.net.

When you delete your account, we will delete or de-identify personal information associated with the account, except where retention is necessary for legal, security, fraud-prevention, dispute-resolution, backup, accounting, compliance, or other legitimate business purposes.

Deleting an app from your device does not necessarily delete your account or data from our systems.

10Children’s Privacy

The Services are not directed to children under 13 or the equivalent minimum age in the relevant jurisdiction. We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, contact us at privacy@zmgsolutions.net and we will take appropriate steps to delete it.

11International Users

ZMG Solutions is based in the United States. If you access the Services from outside the United States, your information may be transferred to, stored in, and processed in the United States and other locations where we or our service providers operate. Data-protection laws in those locations may differ from those in your jurisdiction.

13Changes to this Policy

We may update this Policy from time to time. When we make material changes, we will update the effective date and, where appropriate, provide additional notice. Your continued use of the Services after the updated Policy becomes effective means you acknowledge the updated Policy.
